How to Write a Freelance Proposal That Gets Replies (+ Template)

The short answer

A freelance proposal that gets replies is short, personal, and about the client's problem, not your resume. Open with their goal, say how you'll solve it in one or two lines, show one relevant sample, and end with a simple question. Keep it under 150 words and follow up once if they go quiet.

Most proposals fail for the same reason: they talk about the freelancer. Clients skim, see “I am a hardworking…”, and move on. Flip the focus to them and your reply rate jumps.

The 5-part structure

  1. Their problem or goal. Open with what they want, in their words.
  2. Your solution. One or two lines on how you’d do it.
  3. Proof. One relevant sample or result, not your whole portfolio.
  4. A clear next step. One simple question that’s easy to answer.
  5. A short sign-off. Your name and skill. No essays.

Swap the brackets for the real details of each job. Never send the same generic message to everyone. Clients can tell.

What makes a proposal get ignored

  • It opens with “Hi, I’m…” instead of the client’s goal.
  • It lists every skill you have.
  • It’s three paragraphs of “I’m hardworking and passionate”.
  • It has no clear next step.

Short and specific beats long and generic every time.

Price it right

Your proposal often includes a price. Don’t guess. Know your rate first, and quote a project fee with a clear scope so you don’t get pulled into unpaid extras. See how much to charge.

Frequently asked questions

How long should a freelance proposal be?

Keep it under 150 words. Clients skim, so short and specific gets read while long and generic gets skipped.

What should the first line of a proposal say?

Open with the client's goal or problem in their own words, not with "Hi, I'm…". It shows you actually read the job.

Should I include my price in the proposal?

Yes, when the job calls for it. Quote a clear project fee with a defined scope so there's no confusion later.

How do I follow up on a proposal?

Send one short, polite follow-up after a few days if the client goes quiet. Then move on to the next opportunity.
